The March 2014 minutes were accepted.

Manager’s Report – Jane read report in Brian’s absence

Boat permits and lake access keys are up for sale

  • He is on the lookout for beaver activity and awaiting a new permit to remove any dams that are constructed.

  • The service road from the park office to  the pool is still closed b/c of construction

    • Waiting for compaction

    • Don’t want people walking on it - it has to thaw, so we don’t know the timing yet for how long until people can walk on it again

    • Road from Downing Park into FDR – don’t want you on that piece either

  • An Eagle Scout installed a kiosk at the fishing pier. The design panels are off to the print shop.

  • Comfort stations (1 and 4) will be opening up The others will open in the next couple of weeks

  • Upcoming events in the park

    • Bird Walk – April 19th

    • Run 4 Recovery – April 19th = substance abuse awareness

    • Keeping Fit, 5K Walk/Run and Kids 1 Mile Fun Run – April 26th

    • Annual Vincent Miritello Miles for Medals Walk – April 27th

  • Brian is still looking for life guards and other staff positions for the summer

We have not done too much for budget yet

  • Intent to send out solicitation to raise funds in April and late November.

    • Is it worth it at 46 cents an envelope to send a letter out?  No

    • We can see how people open the messages and how many click on something

      • Parks capital budget - More clicked on it than we thought would. Funding was restored after people phoned Senator Ball. That’s what is useful about mailing list!

    • What do we want as our ask?

      • A map of the park can be picked up for free – good idea but we have it already

      • The bridges that we’re building to connect to Yorktown – it would be helpful to have that

        • Last fundraiser, we didn’t get that much money, so maybe the bridges aren’t a great choice

    • A Shed

      • A small one - $300?, not weatherproof, it would have a dirt floor

      • $1300 one at BJs with wood floor

  • Decisions

    • Do we want to send a letter?  Yes, we should use the mailing list. We should not send a letter through the mail.

    • What should we ask for? We haven’t decided yet. Charles will check prices of the sheds.

Treasurer’s Report – David Rocco

  • March 1st: $666.99

  • Deposit in March: $1,040 – Parks and Trails NY Grant

    • Restricted funds for printing brochures, laminating signs, making business card

  • Total Balance: $1706.99

  • PTNY gives you 65% up front. You have to shell out 35% and then you get that back. They want the grant closed in a year.

  • We need seed money for the bridge – can’t use PTNY money for that.

  • Do we have any big budget items coming up next few months where we’ll have cash outflows?

    • No, the next thing is insurance next Winter, so we’re not expecting major outflow soon

  • Right now we are on hold with bridge because we need permit from DEC. Didn’t know that it had to be in or would have submitted it sooner. Only submitted it about one month ago. Until that is in, the feds won’t approve grant. State has already approved it.

      • Jane will follow up on state of the permit.

  • Need to persuade town to build trail btw Turcos and Baldwin Road. We have 3/4th of the grant. There is no other money. We have to pursuad town it is necessary.

  • What about Loraine D? The Parks and Rec department haven’t taken it upon themselves that this is an interesting project. Once Friends Project starts moving, it may create some momentum.

  • Could we get a sponsor and name the bridge after the sponsor?

    • That is a possibility for the town one. That’s a good suggestion.

  • We can cycle things through quickly. Once we get $2,000 to start with that will give us $2,000 at the end of the project. We can’t justify putting out a solicitation because our last one was pretty unsuccessful.

    • Maybe we can send something out during May. We’re not struggling for funds right now except for the seed money for the bridge. Storage is good.

    • We probably need around $1000 for bridge. Once we get permit from DEC and permission, it will be easier to move things forward.

  • Suggestion for T-shirt logo: Friends of FDR is building bridges to Yorktown.

  • We don’t have money for T-shirts. We can’t get seed money for that. If we want to get T-shirts. We have to buy ours up front. We need a minimum number to print it one time.

  • It would be useful to have something for Bird Walk or any other event. For example, if you’re at a Support Connection meeting, wear a t-shirt that says Friends of FDR.

  • Example: Yorktown Community Dog Park Shirt

    • Cost: $10 for t-shirt, $13 for baseball shirt

    • Sold for: $20 for t-shirt, $25 for baseball shirt

  • Does someone want to get sponsors? If we want to get t-shirts someone has to do those.

  • For I Love MY Park Day there is a specific T-shirt that participants are given from Parks and Trails NY. They ask how many volunteers we will have and send us that number of T-shirts.

  • Send out letters – ask for donation and you get something in return. With the premium we have to figure out how distribution would take place. Premiums appeal to some people and not others. For tax reasons, people can only get $15.

    • Is it worth the postage to mail it to them?

      • No, they would have to come pick it up.

    • You can have premiums of higher levels that then make it worthwhile. Like donate $50 and get a T-shirt.

      • $25 – get note saying thank you

      • $50 get note and t-shirt

  • *If you are giving T-shirt as the premium, you can’t sell it too!

  • Design

    • It should have the logo on it. Stick with consistency of brand. Need something to say Friends of FDR and Trump State

    • Try to keep costs down. One color on one side of the shirt. We have green and blue. How much more is it for two colors? We should find out? Who is going to price it out?

    • Decision: Janice will price it out.

        • Sparkles on Route 6 (quick turn around)

        • The Sports Barn on 202 (higher set up charge for it)

        • Dave has a place

    • Jane will email Janice the pricing info for t-shirts

  • How much of the $600 are we willing to spend?

    • $250 gives us room to still have some money set aside

    • Janice will price out 30 and 50 – she will also ask about kids sizes

    • Janice will send JPEG to David so he can send it to his guy to send out

    • We want to have T-shirts by May 3rd, so this all needs to be done quickly

    • After Janice finds the break points in the printing, Janice and Jane have permission to make the decision for the group based on the prices.

    • Design Decisions

      • 1st choice – white background with two color logo

      • 2nd choice – solid dark green with white letters

      • We should set it up just like the logo is w/ the text below

      • We’ll let the companies recommend size distribution, but we want mostly mediums

      • $20 is a good price for selling the shirts

I Love My Park Day

Publicity – Anwer is in charge

  • Metal

    • Janice walked around with Brian on Sunday and identified three spots in the woods that are the worst. Operating off of Baldwin road. Depending on how many people show up, we could have 3 groups with maps going out to different sites.  Janice will go back before the date and determine where they are going to dump the stuff. It will be left along the trail somewhere and the park staff will come along that week and take it out with a tractor. Since Brian won’t be there, it won’t be moving that day.

      • Suggestion: Since the turnout may be low, it might be better to pick one spot and concentrate on it rather than on three separate spots.

    • The metal group needs big strong people to help because the metal is heavy.  The hospitality table should encourage these people to do the metal project. No one under 18 to go pick up metal with Janice.

    • Janice is putting some cones out. Cones will be at spots where you are supposed to drop the metal.

  • Vine Cutting

    • Linda, from the NY NJ Trails Conference, is an invasives expert. She will be in charge of a group that will be cutting vines. They should report to parking lot 6 and sign in as required. Jane and her husband will teach them how to do it and give them their t-shirts. Once they have T-shirts, Linda will know that they’ve had some instruction. We will send them down along path from lot six to road to swimming pool.

    • Linda is licensed to do herbicide application. She will be brining another individual who is also licensed, and they will be applying herbicide to the vines.

  • Hospitality

    • We need someone to do hospitality, which entails sitting at the table and making sure people sign in. The hours are 10-2, but we will probably have people showing up late.

    • You can also ask participants which project they would prefer to work on.

    • Maria can do hospitality. Dianne can switch off with her.

    • The hospitality table will sell T-shirts. If we are charging $20 for the T-shirts, there should be need for change. Checks should be made out to Friends of FDR State Park.

  • Kids: Concerned that we’re not doing anything for people with kids. We wouldn’t want kids to be cutting vines if they are younger than 12.

    •  Jane will bring some rakes for kids.

    • Suggestion: Maybe they could pick up trash as long as they aren’t along the roads.

  • Signs – David is in charge

    • Post signs on road. Brian will be back beginning of next week. Susan has combination for locker. Susan works here. David will check tomorrow.

    • We have two signs about event with interchangeable numbers

  • Refreshments

    •  We have some granola bars and water bottles from last year

    • A few flashlights left

    • Jane could bring lemonade in large cooler

    • Can someone try to get some fruit from the grocery stores – try to get them to donate – Shoprite and A&P – mainly donate bananas

      • Who wants to go do it?

      • Brownies and bananas

    • If someone buys the stuff it is considered donation. It will be tax deductible, but you need to save the receipts. Operating at an organization at hat you rely entirely on donations for food you get into that precedent.

  • Miscellaneous

    • People will be instructed to bring loppers and work gloves. Jane has some that she can loan to people. Brian only has 5 or 6. Janice needs some loppers to go into the woods to pull metal.

    • People need to dress appropriately for ticks.

    • Jane will put up two canopies in Parking Lot 6. One check in place. One place for refreshments.

Additional Upcoming Events

  • Bird Walk April 19th 7:30 AM in the morning

  • Members will put up flyers at St. Patrick’s, Peekskill Library, etc…

  • Meeting at main office then going to parking lot six

  • Dianne needs to make sign for people coming late to go to parking lot 6

Ideas for Collaboration

Many places have free fishing clinics on the last Saturday or Sunday of June.  Rockefeller State Park runs them. At this event, biologists from the state come.  Walter will see if he can contact anyone in a bass fishing group to see if they would be interested in running a fishing day or a tournament here. They may be interested in making a donation for an event like that.

  • Other groups we could continue to reach out to

    • Hilltop Hanover Farm

    • NY NJ Trail Conference

    • Bedford Audubon

Meeting adjourned 9:03 P.M.

Lacey Gleason
