President Jane Daniels called the meeting to order at 7:40 P.M. She requested that we add a discussion of reimbursement for travel
Minutes - The June 2014 minutes were accepted.
Reports
Treasurer - Jim Brosnan
Our bank balance is $2001.83 of which $1040 is restricted funds from Parks and Trails, NY. We need to hold in reserve $800.00 for a FoFDR insurance (due December) and $100.00 for posters for Gone to the Dogs. Jim has been setting up a spreadsheet to show our cash flow and will be using Quick Books for bookkeeping.
Manager’s Report – Brian Strasavich
The gravel road will be resurfaced and topped with Item 4. The stone steps next to comfort station 1 are being restored by in-house park workers. A free water safety program will be available for children. The park attendance on July 4 was very low possibly because of the rainy weather.
Discussions
Travel expenses:Since we are a non-profit organization, we must follow a federal law which only allows volunteers to receive $0.14 per mile instead of the higher amount that employees may claim. Congress not the IRS can change that amount. To get reimbursed, a member must submit a written request with the mileage, date, and the starting point and destination.
Used fishing line containers: Walter Plankl and Greg Smith are working installing the used fishing line containers, but need to find out from Brian where they can be placed. These containers provide a receptacle for old fishing line which can entangle water fowl.
Parks and Trails New York Grant: The Favicards cost less than budgeted and we have not made the number of posters we thought we would, so there is some money available. PTNY requires that we get written permission to make changes. We should have something to give away at the Yorktown Street Fair. Ideas proposed as give aways were stickers, magnets, and balloons. Jane will send in a report to PTNY as well request a change in our grant.
Yorktown Street Fair: Jim will send in the application for the street fair and Jane will request an insurance certificate. To entice people to stop at a booth means we need freebees. Brian indicated he had NY State Parks stickers. FoFDR stickers and magnets were suggested. Brian did not want us to give out balloons because the helium ones all too frequently escaped from kids and eventually fall in remote areas and thus are litter.
